User Data Deletion

A clear process for requesting deletion of personal information associated with Whapp.

You may request access to, correction of, or deletion of personal information that Whapp controls, subject to POPIA and other applicable legal requirements.

How to submit a deletion request

  1. Email hello@whapp.co.za with the subject “User Data Deletion Request”.
  2. Include your full name, email address, telephone or WhatsApp number, company name if applicable, and the Whapp service or interaction concerned.
  3. Describe the information or account you want deleted. Do not email passwords, identity-document copies, financial details, or unrelated sensitive information.

What happens next

  • We will acknowledge and assess your request.
  • We may ask for limited additional information to verify your identity and prevent unauthorised deletion.
  • We will identify whether Whapp or one of our business customers controls the relevant information.
  • If a customer is the responsible party, we may refer your request to that customer or assist them in responding.
  • Where the request is valid, we will delete, destroy, de-identify, or restrict the relevant information as required.
  • We will confirm the outcome or explain any lawful reason why information must be retained.

Leaving Whapp and accessing your records

Access to Whapp ends on the effective termination date. Contact us before termination to confirm available access or export options. Whapp-only assignments, reports and automation records may not be available in the WhatsApp Business App; do not assume that the app contains a complete copy of your platform records.

For eligible Coexistence setups, cancelling Whapp does not itself transfer ownership of your number or instruct Meta to delete Business App history. History availability, synchronisation, exports and migration remain subject to Meta's supported functionality and your setup. A data-deletion request is separate from service cancellation; see our Terms of Service for cancellation notice and billing.

Retention and backup copies

After termination, data retained by Whapp is securely deleted, destroyed or de-identified under the applicable retention schedule once it is no longer lawfully required. Some information may be retained for legal, accounting, security and dispute-resolution requirements. Ask us to confirm the periods applicable to your service before onboarding or cancellation; retention is not indefinite.

Residual copies may remain temporarily in protected backups until their applicable retention cycle ends. Retained information remains protected and is not used for unrelated purposes. Backup and recovery arrangements depend on your service configuration; retention does not guarantee that a particular record can be restored. Where Whapp acts as an operator, requests are handled under the responsible party's authorised instructions and applicable law.

WhatsApp, Meta, and customer-controlled data

Removing data held by Whapp does not automatically remove copies independently held by a Whapp customer, WhatsApp, Meta, or another integrated service. Those organisations have their own privacy processes. If your request concerns a conversation with a specific business using a Whapp solution, identify that business so we can route the request appropriately.
